About the OA Publishing Support Fund

The Open Access Publishing Support Fund is a pilot project created by the Frohring Library with the support of President Franco Pavoncello aiming to reduce barriers to open access publishing and to support faculty who choose open access publishing as the best venue for their work.

During this pilot project, the Frohring Library will review applications for supporting open access publishing by offsetting the fees associated with it.

 

For the purposes of this fund, we adhere to SPARC’s definition of Open Access, which states that “Open Access is the free, immediate, online availability of high-quality, peer-reviewed research results.”

Authors

  • The author/applicant must be a member of the faculty.
  • The applicant must be the primary or corresponding author.
  • Only one author can apply in the case of multiple authors affiliated with JCU.

Publication Eligibility

The OA Publishing Support Fund may be used to pay processing fees (or part of them) associated with publishing peer-reviewed scholarship on an open access basis. 

Journal articles, books, book chapters must be already accepted for publication.

Journals

To be eligible, a journal must be peer-reviewed and must meet one of these requirements:

  • Is listed in the Directory of Open Access Journals.
  • Is published by a member of the Open Access Scholarly Publishers Association or a publisher that adheres to its Code of Conduct.
  • Provides immediate, unfettered access to all peer-reviewed articles. In other words, journals with a hybrid open access model (some articles in the journal are open, some are not) or delayed open access model (articles become open after an embargo period) are not eligible.
  • Has a publicly-available standard article fee schedule.
  • Has a policy to waive fees in case of economic hardship.

Journals for which the library already pays a subscription will not be considered eligible because the library already pays to access the content (even via a subscription database with an embargo).

Books and Chapters

Because the OA environment for books is still evolving, eligibility will be decided on a case-by-case basis. In general, books supported should be openly accessible immediately upon online publication.

Given the high OA fees for books, individual chapters or contributed chapters to a multi-author volume can be considered for funding.

Authors may consult with the Frohring Library staff prior to submitting an application to determine eligibility, which will be decided on a case-by-case basis. 

Institutional Repository Submission Requirement

Applicants who receive funding are expected to submit a PDF copy of the published version to the institutional repository, John Cabot University ScholarShip. Authors can send the PDF copy to archive@johncabot.edu (Re: Open Access Fund) for inclusion of the work at the time of publication.

The PDF copy will be deposited in John Cabot University ScholarShip by the Frohring Library staff on behalf of the author. For works whose OA processing fees have been paid the published version will be deposited. 

Funds
  • Due to limited funds, each author is limited to one reimbursement per fiscal year (July 1 to June 30) and may request funding up to €2,000 to pay for article processing charges (APCs) or open access publishing fees.
  • Funding is made available only for offsetting APC costs or OA fees associated with making scholarship openly accessible. These funds may not be used to purchase physical publications such as journal issues or books, or for other costs associated with publishing or preparing articles (copy editing, etc).

Application

An article, chapter, or book must be accepted for publication by an eligible OA publisher before an application for funding is submitted. Applications may be submitted from the time the author is notified of acceptance for publication and proof of acceptance is required during the application process.

Authors must review the eligibility criteria or get in touch with the Frohring Library staff to ensure the article, chapter, or book can be funded.

The application will be reviewed by the Head Librarian and the Electronic Resources Librarian. In case of need for expertise, the Frohring Library staff will consult with the Department Chair of the author applying. Applications will be reviewed in a timely manner on a first come first served basis the final decision will be communicate to the author as soon as possible.

 


 

 


Funding

Payment to the publisher or reimbursement of the author will be made after the work has been accepted for publication.

The Frohring Library can pay directly if the entire amount of the publication fee is less than €2,000 (the maximum amount funded). When the publication fee exceeds €2,000, the author will have to pay and then can ask for reimbursement.

 

If the application for funds is approved, the author must present receipts of expenses in order to receive the reimbursement indicated in the award.

Receipts should be sent to the the administration via email, with a reference the award message received and including an itemized list of the expense(s) and receipts such as the one below.

The Business Office will proceed with the reimbursement and the entire process usually takes no more than two weeks.
